Lone Oak Creek Homeowners’ Association Minutes

March 9, 2020


1. The meeting was called to order at 7:10 PM.

2. Quorum was certified. Board members present were Lindsi Kerstetter, Debbie Hill and Stacy Moorhead.

3. Minutes from the prior meeting were approved.

4. Treasurer’s Report

a. Eleven homeowners have unpaid dues at the time of the meeting. Debbie will resend invoices to these homeowners. Lindsi will email those with email addresses on file. They will now owe $435 plus the 18% late fee. This puts the new total at $441.50. (complete)

b. Clickers will also be deactivated until payment is received. (Lindsi-complete)

5. Grounds/Facilities Report

a. Stacy explained the landscaping bids she obtained.

i. Markeese Hightower- $15,600

ii. Battles- $16,500

iii. Mike Atkinson-Does Lawn Treatment Only

b. Debbie was in contact with our current landscaper (Fernando LP’s) and they informed her they will not raise the prices for the 2020 season and came in at $15,900 last year, with added cost coming from the removal of the dead tree.

c. The Board agreed to remain with Fernando’s due to the great working relationship we have, and the fact that they maintained the same pricing as last year.

6. Ad Hoc Committee Reports – none

7. Old Business

a. Debbie is requesting bids to replace the fence panel, posts, and utility items attached to the panel, at the Wild Creek cul-de-sac. Replacement is needed due to termites, and we may need an exterminator if the termites are still active. (on hold - will work it on Spring Break)

b. The Wix website billing needs to be updated so it no longer flows to a former Board member (Debbie – in progress)

c. A woman named Karen, who coordinates gate services for a number of the other Lone Oak neighborhoods, will join the meeting to let us know what she could for us. Karen was unable to make this meeting again. After the network meeting, it was determined that Karen may not be the best fit for our neighborhood needs. Lindsi will look into other gate companies and the Board will discuss and determine at a later date.

d. The new homeowners at 4708 NW 157th Terrace have not responded to the welcome letter to choose a new gate code. (Jennifer will deactivate the clickers, Lindsi will verify with Jennifer that this was handled)

8. New Business

a. The new homeowners at 4636 NW 158th have installed a storage building that does not meet the HOA covenants. The board discussed the violation and determined that the shed structure is in violation of the covenant 8.1.17. From what it states the shed is in violation in the following areas: it is made of metal, roof (shingles) do not match and it does not match the coloring of the house. It is clearly visible from the street which means it needs to have the same roofing material and coloring of the main house. Mary will send a non-compliance letter (complete)

b. A homeowner filed a complaint against 4641 NW 158th Street for frequently parking cars in the street. Lindsi will verify this complaint is in regard to parking in the street overnight. Mary will send a non-compliance letter to the home in violation. (complete)

9. Date and time of the next meeting - Monday, April 6th at 7 PM at the Hill home.
