Lone Oak Creek Homeowners’ Association Minutes
May 14, 2020
1. Call to order – due to the shelter-in-place requirements for the Coronavirus, the Board worked on open issues via text and email. No in-person meeting was held.
2. Approval of minutes from the prior meeting – minutes from prior meetings will be signed once the Board is able to meet in person again.
3. Treasurer’s Report
a. The HOA attorney worked to collect the outstanding dues for this year. The money has been collected and all dues have been paid. (Debbie – complete)
4. Grounds/Facilities Report
a. JMac checked the sprinklers and made some minor repairs (Debbie – complete)
b. LP’s (Fernando) hit one of the sprinkler heads at the park with an edger. JMac moved the head while repairing it so that won’t happen again, and it will mentioned to LP’s (Debbie - complete)
c. New signs have been ordered and installed at the playground (Debbie – complete)
5. Ad Hoc Committee Reports – none
6. Old Business
a. The Wix website billing needs to be updated so it no longer flows to a former Board member (Debbie – complete)
b. The new homeowners at 4708 NW 157th Terrace have not responded to the welcome letter to choose a new gate code. (Jennifer will deactivate the clickers, Lindsi will verify with Jennifer that this was handled)
c. The new homeowners at 4636 NW 158th installed a storage building that does not meet the HOA covenants 8.1.17. Following a non-compliance letter, the homeowners have made the shed compliant. (complete)
d. The sidewalk along Lone Oak Drive near the canal needs to be replaced. The Board agreed to move forward with Shield Construction. Work has been delayed several times due to weather. (Mary – follow up to get a date)
e. The gates have become an issue. PSI was asked to perform an update in April after the gates were "fixed" with old parts, but the gates were not communicating with each other. Because of this, PSI could not add updated information for new homeowners, so the homeowners had to be given a dummy code to use to get into the neighborhood. We also could not add any new clickers. Lindsi has been working these gate issues for some time with PSI and the homeowners.
i. On April 21st via a zoom meeting, Lindsi presented the options to the Board for replacing the entry system. The Board accepted the proposal to install the Doorking 1835 Telephone Entry System for $5760, but did not accept the options for a cellular control box or emergency override key. Those options can be purchased later, if desired, and the override key is not necessary because an override can be performed manually at the gate.
ii. A power surge on April 30th caused the receiver at the front gate to go down so that clickers did not work. PSI reset it the next day. (Lindsi - complete)
iii. The installation of the new entry system was performed on May 14th. Clickers will continue to function, but manual entry access codes (currently 5 digits) needed to be changed to a 4 digit code with a # sign at the beginning. To make the transition as easy as possible, the gate company dropped the last digit of the current five digit code, and homeowners will need to remember to add the "#" sign at the beginning. iv. Lindsi emailed homeowners on May 13th regarding the installation and change to the access codes. On May 14th, Mary places letters on the doors of homeowners for whom we do not have an email address. (Complete)
7. New Business
a. The cap broke off the street light on the island of the Wild Creek Drive cul-de-sac. Stacy opened OG&E work order 9000018279. The street light has been fixed as well as the light at the entrance. (Stacy - complete)
b. The city recommended that playgrounds be kept closed until May 15th. We will comply with that recommendation. Following May 15th, families will need to decide whether or not to allow their children on the playground.
c. The Board received a complaint regarding the boat which has been parked in the driveway for an extended period of time at 15812 Creek Heights Dr. A non-compliance letter will be sent. (Mary – complete)
d. The Lone Oak neighborhood garage sale, scheduled for May 2nd, has been indefinitely postponed.
